This Privacy Policy describes how My Event Crew LLC collects, uses, and protects the personal data of Users of the My Event Crew platform, including the web-based back office and the mobile application.

This document can be printed for reference by using the print command in the settings of any browser.

Note: My Event Crew does not serve third-party advertisements within the platform. Any marketing activity is limited to the Owner's own promotional communications with Tenants.

Among the types of Personal Data that this Application collects, by itself or through third parties, are: first name; last name; email address; phone number; password (stored as a hashed value); company name; billing address; device information; IP address; geographic position; Trackers; Usage Data; unique device identifiers for advertising (Google Advertiser ID or IDFA); session statistics; browser information; operating systems; Application opens; launches; number of sessions; session duration; shift and attendance records; job role or position; Tenant affiliation.

Complete details on each type of Personal Data collected are provided in the dedicated sections of this Privacy Policy.

Personal Data may be freely provided by the User or, in the case of Usage Data, collected automatically when using this Application.

Unless specified otherwise, all Data requested by this Application is necessary for the performance of the Service, and failure to provide it may make it impossible for this Application to provide its services.

Users who are uncertain about which Personal Data is mandatory are welcome to contact the Owner.

Workers and Supervisors are invited to the Platform by Tenants. In such cases, the Tenant acts as the Data Controller for the personal data of their Workers and Supervisors, and the Owner acts as a Data Processor. A Data Processing Agreement is available to Tenants upon request.

The Owner takes appropriate security measures to prevent unauthorized access, disclosure, modification, or destruction of Data. Processing is carried out using computers and IT-enabled tools, following organizational procedures strictly related to the purposes indicated.

In addition to the Owner, Data may be accessible to persons involved with the operation of this Application — including administration, product, engineering, and legal — or to external parties such as third-party technical service providers, hosting providers, and payment processors, appointed as Data Processors by the Owner where required. An updated list of these parties may be requested from the Owner at any time.

Data is processed at the Owner's operating offices and at the locations of any parties involved in processing. The Platform is hosted in the United States. For European Users, data transfers to the United States are conducted under appropriate safeguards as required by applicable law (including Standard Contractual Clauses under GDPR where applicable).

Unless specified otherwise in this document, Personal Data shall be processed and stored for as long as required by the purpose for which it was collected and may be retained longer due to applicable legal obligations or based on User consent.

• Personal Data collected for performance of a contract shall be retained until the contract has been fully performed.

• Personal Data collected for legitimate interests shall be retained as long as needed to fulfill such purposes.

• Tenant account data is retained for the duration of the subscription and for a reasonable period thereafter to comply with legal and tax obligations.

• Worker and Supervisor data is retained for the duration of their active association with a Tenant account. Upon account termination, data is deleted or anonymized in accordance with applicable law.

Once the retention period expires, Personal Data shall be deleted. Requests for access, erasure, rectification, or portability cannot be fulfilled after expiration of the applicable retention period.

Data concerning Users is collected to allow the Owner to provide its Service, comply with legal obligations, respond to enforcement requests, protect its rights and interests, detect malicious or fraudulent activity, and for the following specific purposes: platform operation and authentication, mobile app analytics, web analytics, location-based check-in and check-out, workforce management, customer support and communication, billing and subscription management, and the Owner's own marketing and promotional activities.

The Platform collects and processes User account data to provide core functionality, including Tenant registration and configuration, invitation and management of Workers and Supervisors, login and session management for all User types, and role-based access control across the web back office and mobile application.

Google Analytics for Firebase (Firebase Analytics) is an analytics service provided by Google LLC used to measure usage of the My Event Crew mobile application. Firebase Analytics may share Data with other Firebase tools. The Owner uses this service to understand how Workers and Supervisors interact with the mobile app in order to improve the Service.

Users may opt out of certain Firebase features through their device advertising settings (iOS: Settings > Privacy > Tracking; Android: Settings > Google > Ads).

Google Analytics 4 is a web analysis service provided by Google LLC. The Owner uses it to monitor traffic and usage of the web-based back office. IP addresses are discarded before data is logged. In Google Analytics 4, the Owner does not activate advertising reporting features or share data with Google advertising networks.

The mobile application collects location data when a Worker or Supervisor actively performs a check-in or check-out action at an event or assignment. Location is collected only at the moment of the check-in or check-out action and is not tracked continuously in the background unless explicitly stated in the mobile application.

Location data is used solely to verify attendance and assignment completion for the Tenant managing the User. This data is shared with the relevant Tenant administrator and is not used for advertising or profiling purposes.

When Users contact the Owner for support, inquiries, or other communications, the information provided is used solely to respond to the request. The Owner may use email to send service-related communications, account notifications, and — for Tenants — information about new features or subscription renewals.

The Owner does not operate a general marketing newsletter for Workers or Supervisors. Tenants may opt out of promotional communications by contacting legal@myeventcrew.app.

Billing and payment processing is handled by a third-party payment service provider. The Platform does not store payment card details. The Owner receives only a confirmation of payment completion.

Google Tag Manager is a tag management service provided by Google LLC used to manage analytics and other scripts on the web-based back office in a centralized fashion. User data may flow through this service.

Trackers; Usage Data.

Place of processing:

United States – Google Privacy Policy.

This Application uses Trackers. Trackers are technologies — including cookies, unique identifiers, web beacons, embedded scripts, and fingerprinting — that enable the tracking of Users, for example by accessing or storing information on the User's device.

The web-based back office uses session cookies necessary for authentication and platform functionality. Analytics cookies (Google Analytics 4 / Google Tag Manager) are used to improve the Service. The mobile application uses Firebase SDK identifiers for analytics purposes.

Users of the web back office may manage cookie preferences through their browser settings. Note that disabling necessary cookies may prevent access to the Service.

The Owner may process Personal Data relating to Users if one of the following applies:

• Users have given their consent for one or more specific purposes;

• Processing is necessary for the performance of an agreement with the User and/or for any pre-contractual obligations thereof (e.g., providing the Service to a registered Tenant, or enabling a Worker to access assigned shifts);

• Processing is necessary for compliance with a legal obligation to which the Owner is subject;

• Processing is necessary for the purposes of the legitimate interests pursued by the Owner or by a third party (e.g., analytics to improve the Service, fraud detection, or security).

In any case, the Owner will gladly clarify the specific legal basis that applies to any particular processing activity upon request.

Personal Data is stored and processed in the United States. When Users are located in the European Economic Area, the United Kingdom, or other jurisdictions with data transfer restrictions, the Owner relies on appropriate legal safeguards for international transfers, including Standard Contractual Clauses approved by the European Commission, where required.

When a Tenant uploads or provides data about Workers and Supervisors — including names, contact information, and attendance records — the Tenant acts as the Data Controller for that data. The Tenant is responsible for:

• Ensuring a lawful basis for processing Worker and Supervisor personal data;

• Providing appropriate privacy notices to Workers and Supervisors before inviting them to the Platform;

• Responding to data subject requests from their Workers and Supervisors;

• Complying with applicable privacy laws, including GDPR, CCPA, and any other applicable legislation.

The Owner acts as a Data Processor in respect of Worker and Supervisor data provided by Tenants and processes such data only on the Tenant's instruction and as necessary to provide the Service. A Data Processing Agreement is available to Tenants upon request by contacting legal@myeventcrew.app.

Users may exercise certain rights regarding their Data processed by the Owner. In particular, Users have the right to:

• Withdraw consent at any time where consent was previously given as the legal basis for processing;

• Object to the processing of their Data where processing is carried out on a legal basis other than consent;

• Access their Data — to learn whether Data is being processed, obtain details about the processing, and receive a copy;

• Verify and seek rectification — to verify accuracy of Data and request updates or corrections;

• Restrict the processing of their Data — in which case the Owner will not process it for any purpose other than storing it;

• Have their Personal Data deleted or otherwise removed from the Owner's systems;

• Receive their Data in a portable format and have it transferred to another controller where technically feasible;

• Lodge a complaint with their competent data protection authority.

California residents have specific rights under the California Consumer Privacy Act (CCPA). In addition to the rights described above, California Users have the right to:

• Know what Personal Data is collected and how it is used;

• Know whether Personal Data is sold or disclosed and to whom;

• Opt out of the sale of Personal Data. The Owner does not sell Personal Data;

• Request deletion of their Personal Data;

• Not be discriminated against for exercising their CCPA rights.

Requests to exercise User rights may be directed to the Owner using the contact details provided in this document. Such requests are free of charge and will be answered as early as possible and always within one month, providing Users with information required by law.

Workers and Supervisors who wish to exercise rights regarding data processed by a Tenant should in the first instance contact the relevant Tenant administrator. The Owner will cooperate with Tenants and Users in facilitating such requests.

User Personal Data may be used for legal purposes by the Owner in court or in stages leading to possible legal action arising from improper use of this Application or the related Services. The User acknowledges that the Owner may be required to disclose personal data upon request of public authorities.

For operation and maintenance purposes, this Application and any third-party services used may collect files that record interaction with this Application (system logs) or use other Personal Data, such as the IP address, for this purpose.

The Owner implements appropriate technical and organizational measures to protect Personal Data against accidental loss, unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data transmission (HTTPS/TLS), access controls and authentication, regular security reviews, and limited access to personal data on a need-to-know basis.

Despite these measures, no transmission of data over the internet can be guaranteed to be completely secure. Users are responsible for maintaining the confidentiality of their login credentials.

More details concerning the collection or processing of Personal Data may be requested from the Owner at any time at legal@myeventcrew.app.

The Owner reserves the right to make changes to this Privacy Policy at any time by notifying Users on this page and, where technically and legally feasible, via any contact information available to the Owner. It is strongly recommended to check this page periodically, referring to the date of the last modification listed at the bottom.

If changes affect processing activities based on User consent, the Owner shall collect new consent where required.

Personal Data (or Data)

Any information that directly, indirectly, or in connection with other information — including a personal identification number — allows for the identification or identifiability of a natural person.

Usage Data

Information collected automatically through this Application (or third-party services), which may include: IP addresses or domain names of computers used by Users, URI addresses, the time of the request, the method used to submit the request to the server, the size of the file received in response, the numerical code indicating the status of the server response, the country of origin, browser and operating system characteristics, time details per visit (e.g., time spent on each page), details about the navigation path within the Application, and other parameters about the device operating system and/or IT environment.

Tracker

Any technology — e.g., cookies, unique identifiers, web beacons, embedded scripts, e-tags, and fingerprinting — that enables the tracking of Users by accessing or storing information on the User's device.

Cookie

Cookies are Trackers consisting of small sets of data stored in the User's browser.

User

The individual or legal entity using this Application. For purposes of this Privacy Policy, Users include Tenants (Tenant administrators), Supervisors, and Workers.

Data Subject

The natural person to whom the Personal Data refers.

Data Processor (or Processor)

The natural or legal person, public authority, agency, or other body which processes Personal Data on behalf of the Data Controller. The Owner acts as Data Processor with respect to Worker and Supervisor personal data provided by Tenants.

Data Controller (or Owner)

The natural or legal person, public authority, agency, or other body which, alone or jointly with others, determines the purposes and means of the processing of Personal Data. The Owner — My Event Crew LLC — acts as Data Controller for data processed in connection with Tenant accounts, platform operation, and analytics.

This Application

The means by which the Personal Data of the User is collected and processed, including the My Event Crew web-based back office and mobile application.

Service

The workforce management platform provided by My Event Crew LLC as described in the Terms and Conditions.

European Union (or EU)

Unless otherwise specified, all references to the European Union include all current member states and the European Economic Area.

Tenant

A company or legal entity registered on the Platform to manage its event workforce via the web-based back office.

Worker

An individual invited by a Tenant to perform event-related work, accessing the Platform via the mobile application.

Supervisor

An individual invited by a Tenant to oversee assigned Workers, accessing the Platform via the mobile application.
